What to include on a contractor invoice

Beyond the standard fields, break labor and materials out separately rather than bundling them into one line — it's what a client's accounts team looks for first, and it makes any dispute faster to resolve since each side can point to the specific line in question. 1099 reporting if you manage subcontractors

If you're a general contractor hiring subs, the reporting obligation runs in the opposite direction from your own invoicing: you have to track what you pay each subcontractor and issue them a 1099. The IRS raised the Form 1099-NEC reporting threshold to $2,000 for payments made in 2026 and later — up from the long-standing $600 threshold that still applies to earlier tax years (IRS — Instructions for Forms 1099-MISC and 1099-NEC). The threshold applies to what you paid that subcontractor across the whole year, not per invoice — so it's worth keeping a running total per sub rather than checking only their final invoice amount. On the other side of that relationship, a client will likely ask you for a completed Form W-9 before your first payment, so they can issue you the same form at year end.
