What to include on a rent receipt
Beyond the core receipt fields, name the rental period explicitly — “June 2026 rent” rather than just a date paid — so there's no ambiguity months later about which month a specific receipt covers. If the tenant paid less than the full amount due, note the remaining balance on the receipt itself rather than leaving it unstated.
Reporting rent as income
Rent you collect is generally taxable income, reported on Schedule E (Form 1040) for real estate rentals — including advance rent paid before the period it covers, and the value of any tenant-paid expense you didn't have to cover yourself (IRS — Topic no. 414, Rental income and expenses). A security deposit is treated differently: it generally isn't taxable when you receive it, since you're expected to return it, and only becomes reportable income if you keep some or all of it — for damage or unpaid rent at move-out, for example. Keeping a dated receipt for every payment makes reconstructing a full year of rental income at tax time far easier than piecing it together from bank statements alone.
